Subject Access Requests

Important Information About Subject Access Requests (SARs)

At Therapy Centre Services, we are committed to providing a confidential counselling service to support your mental health and well-being. Confidentiality is a cornerstone of our practice, and as outlined in our Statement of Understanding (Contract), we do not release counselling notes under any circumstances. This policy is in place to protect your privacy and ensure the integrity of our therapeutic work.

However, under a Subject Access Request (SAR), you are entitled to access personal information we hold about you.

This includes:

  • Your name, date of birth, and address.

  • GP details.

  • Presenting issue as stated on referral.

  • Session dates (attended and did-not-attend).

  • Details of who funded the sessions (e.g., self-funded or referring party).

Counselling notes are not included in SARs because they may contain third-party information (such as details about family or friends mentioned in sessions) or the counsellor's professional opinions. Releasing this information would not comply with data protection law or guidance from our insurers and regulatory bodies.

The only circumstance under which counselling notes might be disclosed is through a valid court order. In such cases, we follow ICO guidance and consult with our insurers and regulatory bodies to ensure compliance.
